OSCA  Positions to Fill!

The following are descriptions of positions OSCA needs to fill prior to our next AGM (April2025). We are asking members NOW,  as it would be good to have interested folks shadowing and training this winter.

Treasurer

This position utilizes Quickbooks to record the income and expenses of the association .Deposits and payments, providing pre-set financial statements from Quickbooks and Excel to the Board each month. Prepare the Year-End, Annual Budget and file the Charitable Tax Return.   The Treasurer may enlist the help of an assistant during the busy months.   Knowledge of basic bookkeeping is a benefit to this position. Training and shadowing this winter is available. If a Treasurer/bookkeeper does not come forward we may have to contract out the bookkeeping which will result in increased operational costs for the Centre.  The position has custody of the Treasurer laptop which has an email, bookkeeping software and all financial records. 

Bingo Manager

This position differs from Bingo Coordinator.  The Bingo Manager working with the Coordinator is responsible for monthly deposits to the OSCA gaming account, completing the monthly spreadsheet,  paper inventory control, filing the year-end reports to BC Gaming, applying for annual bingo and raffle licenses ,ensuring OSCA is adhering to the BC Gaming Rules and Regulations. This position works with the Bingo Coordinator and the Bookkeeper.  Training and shadowing is available this winter.  This position can be filled by a non-resident member as our busy time is November to April.  Time commitment approximately 2 hours per month.  

Secretary 

This position is responsible for digital and paper filing of all meetings, AGMs, Annual Reports. Key registry, membership lists and memberships emails list. Prepares the Annual Report and ensures the association is in compliance with the BC Societies Act, OSCA By-laws, Policies and Procedures. The secretary prepares the monthly calendar and distributes it electronically.  The secretary assists the President with the board meeting agendas, records and prepares minutes.   Currently the secretary has been managing a FB page, the website and an electronic newsletter (both on Mailchimp).  Working knowledge of  Microsoft 365, Excel, Word, Adobe 2020 and Mailchimp would be a benefit. This position has custody of the Secretary laptop. Training and shadowing this winter are recommended.

Kitchen Manager

Immediate

This position is responsible for the management of the kitchen.  Tidiness, sanitation in compliance with our OSCA Food Safety Plan.  Ensuring there is an adequate supply of cleaners (including dishwasher), paper products and wrap.   Coffee, tea and a fresh supply of cream each week.  Check fridges for cleanliness and outdated product. A supply of cookies to put out with coffee during activities.   Reporting to Maintenance any observed issues with plumbing, electrical, etc.  This can be filled by a non-resident as our busy season is November to April.
